| Administrative Associate NY Open (J#56307) Title: Administrative Associate Company: Tyco Electronics Job Summary: This position is responsible for providing administrative support to the Managing Director of the Industrial Business Unit and staff. Duties and Responsibilities: - Manage all incoming and outgoing correspondence and email for Managing Director and determine level of priority. - Manage calendars, appointments, and resolve conflicts. - Manage correspondence, presentations, and research and be able to recover same on demand. - Monitor and answer all incoming calls to Director. Field routine and non-routine questions. - Schedule and organize reoccurring and non-reoccurring activities such as meetings and department activities for Director and staff. Proactively drive schedules for reviews, ISO audits, and manage deadlines. - Anticipate and prepare materials needed by the Director for conferences, correspondence, appointments, meetings, phone calls, etc. - Manage and coordinate domestic and international travel arrangements. - Coordinate logistics for team events; locate and obtain information & resources internally, as well as externally. - Coordinate projects, set priorities, meet deadlines and follow up on assignments with minimum of direction. - Communicate effectively with co-workers, subordinates, superiors and customers. Interact in a highly professional manner with individuals, both internal and external to the company, for and in the absence of the Director. - Identify and take a pro-active approach to tasks assigned. - Create reports, graphs, and presentations. - Create Capital Expenditure Request. - Track vacation and sick time for Director and staff. - Interact with Administrative Staff and participate in Admin Council meetings and projects. Work Experience: - Must have advanced computer skills, including extensive experience with Microsoft Office (Word, Excel, Power Point, Publisher, etc). - Must be well organized self-starter with strong verbal and written communication skills, able to multi-task, and work with diverse personalities. - Must be highly motivated, taking initiative to research different assignments and coming up with the best results. - Must maintain confidentiality of information. - 5-7 years of experience. - Excellent organizational skills with strong attention to details. - Strong judgment, discretion, confidentiality and decision making skills. - Strong time management and prioritizing skills.
